Team Hub: availability, onboarding and payroll hours
A secure staff platform that replaces a Google Form and a pile of paperwork: availability by calendar, right-to-work onboarding and a payroll export that does the holiday pay maths.
The problem
A venue with a large, mostly part-time team spends hours every month on admin that software should handle: collecting availability through a general-purpose form, chasing new starters for documents, and calculating hours and holiday pay by hand, including remembering when someone moves into a new age bracket for pay.
What we built
Team Hub sits alongside the existing HR and rota software rather than replacing it. Staff submit availability on a calendar for each rota period, with notes for their manager. New starters complete onboarding on their phone, including a right-to-work document upload, with the manager checking the original ID on the first shift.
For payroll, managers enter hours and the system produces an Excel export with employee ID, name, hours and holiday pay (12.07% for variable-hours staff, specified hours for contracted staff), flagging anyone who has moved into a new age bracket.
The results
Being trialled as a standalone module in a busy leisure venue, with the aim of becoming part of OPLIVO.
